Definition of terms used within our Terms & Conditions

By making a booking with Field Bar Tents & Events you are agreeing to abide by our terms and conditions, as worded below. They are your agreement with Field Bar Tents & Events.

When we use the term ‘The Company, we or us we refer to Field Bar Tents & Events, its owners, employee’s & anyone else engaged by the company, paid or otherwise.

The term ‘Hirer / you’ means the person who hired the bell tents & equipment from Field Bar Tents & Events & who signed the booking form. ‘

When we use the term or refer to your booking we are referencing the legally binding contract entered into by the hirer and Bohemian Wedding Tents & Events.

Hire charges refer to the total amount due in respect of a contract as set out in the booking form/invoice sent to you, the hirer, and these terms and conditions.

Our Hire Charges include the delivery,  set up, take down, and collection of all tents & equipment hired from us

Booking Confirmation

When you request a quote from us we will send you an email with the quote you requested. Please note that the email you receive from us is not a confirmation of a booking.

To secure the price and dates set out in the quote you have received a deposit of 25% is payable, along with an email accepting the quote supplied and agreeing to our terms and conditions.

Until all the above conditions are met your booking will remain unconfirmed. We will hold the Bell tents & equipment that you have requested to hire from us for 24 hrs after the quote is sent to you. After 24 hrs we reserve the right to release those items from on hold back into our hire inventory & if needed they will be hired to another person & may not be available to you on the dates required by you should you wish to proceed with a booking.

Balance of payment due

All balances are due 28 days prior to the day your booking commences and shown on your booking form. A £100 security deposit is also payable at this time. Without the security deposit being received at the same time as the balance we will be unable to proceed with your booking. Should you be hiring us within 28 days or less at the time of booking all monies will be due with immediate effect, along with the email confirmation and your acceptance of our terms & conditions.

Notice of cancellation

Any notice of cancellation of the booking by the hirer must be provided to the Company, by email or registered letter, to be received not less than 28 days prior to delivery.

Cancellation of less than 28 days prior to your booking will result in 100% of your deposit being forfeited in full. You may wish to obtain your own travel /event insurance to cover this should this happen.

Please check your insurance policy will cover you for any event you may see happening & causing you to cancel. We, the company, are not responsible for your insurance provider’s decision

Force Majeure

 “Force Majeure” means the occurrence of an event or circumstance that prevents a party – in this case Field Bar Tents & Events, its owners/directors/employees from performing one or more of its contractual obligations if a Force Majeure should occur.

For the purpose of this Clause, the following shall be Force Majeure Events:

(i) actual, threatened, or reported war, the act of war, civil war, or hostilities; the act of piracy and/or violent robbery and/or capture/seizure; the act of terrorists; the act of hostility or malicious damage;

Blockade, generally imposed trade restriction, embargo;

An act of government or public authority whether lawful or unlawful, compliance with any law or governmental order, expropriation, seizure of works, requisition, nationalization; plague, epidemic, pandemic;

An act of God, natural disaster, or extreme natural event such as an earthquake, landslide, flood, or extraordinary weather condition

Explosion; fire; destruction of equipment;  obstruction of waterways; cyber security incident; break-down of transport, communication, information system or power supply; in each case unless caused by negligence of the Affected Party;

A general labour disturbance such as boycott, strike and lock-out, occupation of factories and premises; in each case unless limited to the employees of the Affected Party or a third party engaged by it; or any other similar event or circumstance unless caused by the negligence of the Affected Party or any other factor outside of the reasonable control of the Company.

 

Bad Weather Events

In the event that bad weather occurs that makes it unsafe for us to erect our Bell tents & or equipment or forecasts of heavy, persistent rain/high winds/thunderstorms, flooding or any other dangerous weather conditions become an issue we will be forced to cancel the booking. A full refund will then be offered or if acceptable to the hirer another date suitable to both parties will be arranged.

EXCLUSIONS FROM INSURANCE

Exclusions include but are not limited to:

(1) Items hired by you, from Field Bar Tents and Events  other than the Bell tent itself

(2) Insurance excess – The insurance cover excludes the Insurance excess of any claim and the Hirer agrees to pay this amount back to the company.

(3) Cover only applies to equipment owned & delivered by Field Bar tents and Events. It does not include equipment provided by the hirer, a sub-contractor, or any other person not working for or under the direction of BField Bar Tents and Events

(4) Any breach of the Company terms and conditions as  stated within our terms and conditions and booking form will make the insurance policy invalid/negated

(5) Disappearance, of any inventory delivered to the hirer and subsequently missing, lost, or unaccounted for.

(6)Any Acts of fraud by the hirer

(7 Equipment must be kept where erected, on-site at all times, and not be moved. Written consent must be obtained if you wish to move it or are asked to move it by the site/landowner.

You agree to keep the Company fully informed of all material matters relating to the Equipment & agree that you will not  use the equipment for any  purpose that may be deemed unlawful

(8) Failure to agree to report any loss or damage arising from fire, theft vandalism, or circumstances outside your control to the police immediately when identified and to the Company at the earliest possible time but no later than 24 hours.

Your obligation to find a suitable site

When we accept your booking we base our hire charges on the belief that your site is:

  • At least 8m x 8m  (larger if that has been agreed in writing between both parties)

  • The site must be free of animal waste & all rubbish, tree stumps & any undergrowth. Failure to provide a suitable site where we are unable to pitch will result in our side of the contract being deemed to have been completed  & no refund will be given

  • The site must not be liable to flooding

  • The land is flat, level & on firm ground with easy access for our vehicles to get close to the erecting site, and no drains, cables, or other services are buried beneath the surface or otherwise concealed. Should they later be found to be so & damaged in the course of work on site we accept no liability or responsibility to fix & repair them.

  • The hirer agrees to provide us with a photo or plan of the area they wish the Bells Tents erected on. It must be of the area you require as all quotes are based on this being accurate. It must not cause damage to the land, trees, wildlife, or any other structure including our Bell Tents.

  • Please bear in mind access that may be needed by people with disabilities and emergency services. 

Security deposit

We will hold your security deposit until the Bell tents / Equipment has been collected & inspected. Should no damage have occurred it will be returned within 48 hrs of collection. Should damage have occurred the deposit will be minus any deductions, which will be photographed & itemized.

We will make deductions for the following issues

  • If someone has been ill inside or immediately outside of the tent

  • Our tents have a strictly no smoking policy. Any signs of this policy being broken will result in a loss of deposit

  • Please leave the Bell tent as you found it. Any rubbish, food, or drink that we are required to remove will result in monies being deducted in part or full from the security deposit.

  • Any larger than can be expected amounts of dirt or heavy staining on the Bell Tent

  • Fire damage caused from outside open fires or fireworks. Cooking within the Bell tents which is strictly prohibited

Limitation of our liability

Field Bar Tents and Events will not be held responsible for and the Hirer agrees that they will indemnify the Company against any and all claims for the injuries that may occur to any persons or for any loss or damage to property in which ever way it was caused unless it is proved beyond reasonable doubt that such injury or damage was caused by faulty materials or poor workmanship or negligence on the part of Field Bar Tents and Events. Should the hirer have any concern about any of the above they must inform the employees/ staff/owners of the company before they leave the site or at the latest before they or their family & friends use the tents & equipment provided by us.

Should you, the hirer, be in any way unhappy with the condition or cleanliness of the Bell tents you agree to inform Field Bar Tents & Events by email before any director, employee, or anyone engaged in the set up of the Bell Tents leaves the site. It is the hirer’s responsibility to have a designated person on site when the Bell Tents are delivered & erected. Failure to do so will result in no acceptance of liability by us, the company & no refunds will be due.

The Hirer hereby acknowledges that Field Bar Tents & Events is not the original manufacturer or supplier of the equipment. The Company accepts no liability for any injury or death from any claim or proceedings arising from this contract with the Hirer

Please note our does and donts

Our intent is always for you, the hirer & family & friends to have a fantastic time when staying in one of our Bell Tents. To keep everyone safe & happy please read the following:

  • As the tents are canvas you must keep all fire pits, naked flames, and cooking equipment well away from the Bell tents & they must not be used inside of the Bells, whatever the weather.

  • No candles, oil lamps, or any object that contains a naked flame are allowed in the tents

  • No smoking of cigarettes or any other substances is to be used inside the tents. Any time we feel that this condition has been broken no security deposit will be returned to you

  • All open fires, pits & BBQs should be a minimum of 5 meters away from the bell tents & not be left unattended. Further distances are advised if it is a little windy

  • Remember that although our bell tents are waterproof if you leave the windows open or have groundsheet unzipped if the weather changes water will get in. Close them up if you are away from the tents

  • On a lighter note we hope you have a fantastic time, enjoy the beauty all around you & make the most of all glamping in one of our beautiful bells has to offer. Happy Glamping!

This Agreement

This contract constitutes the entire agreement between us, Field Bar Tents & Events, the company, and the Hirer. We accept no verbal representations or arrangements and they are not recognised by the Company.

This contract will be governed by the laws of England and Wales and the exclusive jurisdiction of the Courts of England and Wales.
